Organising a wedding: what to do before contacting suppliers

Have you just been popped that much-desired question? Then any time is right for organising your wedding, starting from the suppliers.

But let’s take a step back: who are the suppliers? Suppliers are all the professionals involved in organising a wedding: caterers, florists, photographers, video-makers, musicians, outfitters, to name but a few.

First of all, many couples set a date and then find out that the suppliers they have chosen are already busy at other events! This is why the first piece of advice to keep in mind in the early stages of organising a wedding is to set the priorities, deciding whether to organise a dream wedding or to keep the set date, using different suppliers you may not know.

A second piece of advice: don’t make hasty decisions! You have to proceed in steps, without panicking. So, here is my point of view on what fundamental information you need to start with when looking around and deciding how to organise your wedding:

  • Decide on the period for the wedding. First of all, do you imagine your wedding in the heat or the cold, with the fresh perfumes of spring or the charming colours of autumn? Think about what you like most and which atmosphere you want to create for your event.
  • Your guests are important, do they have to travel from far away? In some periods of the year, even in places offering plenty of accommodation, if you don’t book well in advance it becomes very hard to find enough places. This is exactly the case in Tuscany, from spring to mid-autumn.
  • Draft a guest list. Special attention has to be paid to the location, but only once you’ve drafted the guest list, never before! Many locations have suitable outdoor spaces, but if the weather is bad, plan B may be a real emergency fall-back: lots of small rooms that force the guests to be separated.
  • Indoor and outdoor spaces. Always make sure that the location has large and elegant indoor spaces that can host your guests easily. Nothing must risk compromising the right feel you had in mind for your wedding day. The different times during your wedding day need the right indoor and outdoor spaces to guarantee its success.
  • Is the capacity of the location right for the number of guests? Well, the answer to this question may not be easy for everyone. During your visit to the location, being able to imagine how many tables you can get in a room is often complicated: what can we do? Ask for a scale plan of the room with its actual measurements, and draw a simulation, considering the following indications:
  1. Round tables can optimise the space; the diameter of a table for 10 people measures 160 cm, and 180 cm for 12 people; in addition to this, don’t forget to leave a 60 cm space for each of the chairs. Rectangular tables reduce the capacity by around 30%, and are generally at least 100 cm wide, of course in addition to the space for the chairs. Consider 70 cm table space per guest.
  2. Alternatively, take a tape measure to the location with you so that you can check the dimensions yourself.
